📜 Terms and Conditions for Applicants – Youth Exchange Programs (Erasmus+)
By applying to and participating in any Erasmus+ Youth Exchange program, the participant fully agrees to the following terms and conditions, in accordance with European Union laws and the Erasmus+ framework:
1. Eligibility and Selection:
Participants must meet all eligibility criteria defined by the hosting organization, including age, nationality, language level, and availability. Selection is based on motivation, profile, and interview performance. The organization reserves the right to decline applications that do not meet the criteria.
2. Commitment and Participation:
Selected participants must fully attend all program sessions and activities from the first to the last day. Any unjustified absence may lead to exclusion from the program and reimbursement obligations.
3. Code of Conduct:
Participants are expected to behave respectfully and responsibly during the program. Discriminatory behavior, harassment, or violation of local laws will result in immediate exclusion and may be reported to the relevant authorities.
4. Travel and Reimbursement:
Participants must follow the travel plan approved by the organizing team. Flight tickets are either pre-booked or reimbursed after the project upon submission of original receipts and boarding passes. Reimbursement is subject to full attendance and return to the home country.
5. Insurance and Health:
Participants must have valid health insurance covering the full duration of the project, including travel days. The organization is not responsible for medical costs not covered by insurance.
6. Data Protection:
By submitting an application, participants consent to the collection, processing, and storage of personal data for the purpose of project selection, reporting, and coordination under GDPR (EU Regulation 2016/679).
7. Media and Communication:
Participants agree that photographs, videos, and testimonials may be taken during the project and used for non-commercial purposes (reports, social media, website, etc.) unless written objection is submitted before the start of the activity.
8. Liability Disclaimer:
While all necessary safety measures are taken, the organizing body shall not be held liable for personal loss, injury, or damage during the travel or project unless due to proven negligence.
9. Withdrawal and Cancellation:
If a selected participant withdraws from the program without a justified reason after confirmation, they may be liable for the cost of flight tickets and accommodation already booked on their behalf.
10. Legal Compliance:
All Erasmus+ projects are conducted under the legal framework of the European Commission. Participants agree to respect the laws of the host country, and any breach will be subject to local jurisdiction.
